Microsoft released a new feature called Roaming Signatures in Outlook.com, which allows users to customize their signatures in different emails automatically. This change mainly affects how the email signatures are saved, so instead of saving them on a local drive, which was the case before, signatures have now moved to the cloud - directly into the user's account. This way, each user can access the signature from any device. For example, if you create a signature on your office computer, you won't have to create it again when you arrive at a different office and when signing in with your mobile phone (with the Outlook App). 


Due to this change, we have been receiving issues from different users, where they tell us that their email signature has disappeared. We are also noticing that this is also happening when the toggle switch for the new Outlook is turned on. Due to a background update, in some cases, the email signature disappears. When this happens, you can just set back your email signature by copying the contents as per the below instructions:


  1. Click the File tab on the Outlook ribbon, and choose Options in the left-hand navigation menu
  2. In the Outlook Options window, go to Mail > Signatures 
     
  3. Your new signature will be shown under Signatures on this device. From this option, copy your email signature from here first. 
  4. Choose your email account (if you use multiple accounts in Outlook), click New, name your email signature, and click OK
  5. In the Edit signature box, paste the signature contents you copied in step 3 using the Ctrl + V keyboard shortcut and click Save just below the box
  6. Set the signature as the default for new messages, replies/forwards, or both according to your preferences (see the bottom portion in the last image)
  7. Repeat steps 2-8 to recreate your other missing email signatures.
  8. Finally, click OK to close the Signatures and Stationery window and apply your changes.

From now on, you should be able to use your email signature as usual – just like you did before the release of the Outlook roaming signatures feature.
